Export, preserve, schedule, or sync P&L

Outcome: Share the exact report carefully through exports, preserved links, schedules, or Sheets.

Know which exports are available

Open Profit & Loss, set the exact scope, period, comparison, assumptions, and lens, then open Reports.

The previous P&L interface offers its existing combined and section CSV files. Those older order and adjustment CSVs can include customer names and free-text adjustment notes, so treat them as customer-and-financial records. Switch to the new P&L for the current seven-section artifact, Excel workbook, print/PDF, preserved reports, scheduled delivery, and dedicated P&L Sheets. Switching the interface does not change the saved financial facts.

The new report artifact has Summary, Merchandise, Shipping, Orders, Expenses, Assumptions, and Data Quality sections. Combined CSV includes all seven; section CSV buttons export one section; Excel workbook creates the same seven sheets; Print / save PDF opens a no-store print view. Excel and print first preserve the exact artifact, so their snapshots also appear under Preserved reports for the normal 30-day retention; a CSV download does not create a snapshot. Every format uses the same V2 report artifact, filter hash, assumptions, comparison disclosure, quality, and exact integer-cent values rather than recalculating in the file layer.

During an active historical-cost validation or apply phase, the live JSON report warns that costs are updating, CSV returns a retryable conflict, and P&L Sheet publication waits. Finish or cancel the job and reload before preserving a result.

Review privacy and quality before download

Current V2 artifacts omit customer names and free-text expense notes. They retain financial totals, order IDs, form IDs and names, assumptions, quality details, and exact traceable rows. This privacy boundary does not apply to the previous interface's CSVs. An order ID or form name can still reveal business activity, so store every CSV, Excel, PDF, and P&L Sheet as a confidential financial record.

Review Data Quality before exporting. Direct downloads and manually preserved snapshots keep the report's quality status, including blocked or degraded warnings; they do not turn missing values into zero. Scheduled delivery refuses a blocked result. A degraded scheduled report can be delivered only with its warning intact.

Preserve an immutable report

Choose Preserve snapshot to retain the exact generated artifact even if live orders, costs, settings, or a source saved view later change. Only the financial account owner can preserve a report.

The private snapshot is immutable for 30 days unless the owner deletes it sooner. Its payload is integrity-checked and stored outside the public site. Opening or sharing it creates a bearer link that expires within seven days and never outlives the snapshot. Reopening the preserved report can create a fresh bounded link, but does not extend the 30-day retention.

Anyone who receives the bearer link can open the report until it expires. Do not post it publicly, place it in a broadly shared document, or forward it casually. Deleting the snapshot removes the preserved report and cannot be undone.

A collaborator with View Profit & Loss or Manage Profit & Loss costs may directly export an authorized form, but cannot preserve a snapshot or create a bearer link.

Schedule an exact saved view

  1. Save the final report controls as a personal saved view.
  2. Under Email a saved view, name the schedule and select that view.
  3. Choose daily, weekly, or monthly delivery and a seller-local time. Weekly schedules require a weekday; monthly schedules use day 1 through 28.
  4. Review the next run and Recent delivery history. Use Edit, Pause or Resume, Send now, or Delete as needed.

Schedules are owner-only, capped at 10, and send an expiring report link only to the current account email. They do not support arbitrary recipients or attachments. Each schedule binds the exact saved-view row version, account email, and account timezone at setup.

Immediately before email, EZFormz rechecks the saved-view version, authorized form, owner, account email, report contract and quality, and the exact leased schedule configuration. A changed or missing view, changed access or email, blocked report, or concurrent schedule change moves delivery to review instead of sending stale content. Editing or deleting a schedule or its saved view while delivery owns the short lease asks you to retry after the run finishes.

Delivery follows daylight-saving changes. A local time that does not exist during spring-forward is skipped instead of being silently moved. Technical failures retry after about 5 minutes, 30 minutes, and 2 hours; three consecutive executor failures move the schedule to Needs attention. A schedule and intended run time are deduplicated so a retry does not send the same occurrence twice. Run history is retained for 90 days without report contents.

Sync the dedicated P&L Sheets

In Reports → Google Sheets, enable P&L Sheets for one P&L-enabled owned form that already has a connected Google Sheet. The standard Sheet must not be paused. Sync now publishes one validated generation; auto-sync can publish later dirty generations.

This is a fixed form financial report, not a copy of the temporary controls currently open in the browser. It uses all-time paid orders for that form, the effective form override or account defaults for shipping, insurance, date basis, category basis, and default lens, and no comparison.

One generation contains these nine exact tabs:

  • P&L Summary
  • P&L Merchandise
  • P&L Shipping
  • P&L Orders
  • P&L Expenses
  • P&L Assumptions
  • P&L Data Quality
  • P&L Products and P&L Categories, retained as compatibility tabs but generated from the same current artifact

EZFormz writes all nine into hidden staging tabs, checks their dimensions and content hashes, rechecks the financial source generation, then swaps the complete set into view. If writing or source validation fails, the previous successful visible tabs remain in place and the pending generation records retry state. The five-minute worker retries enabled automatic P&L Sheet syncs.

Order, payment, refund, shipping, cost, fee, policy, adjustment, and relevant product or category changes can dirty the form's P&L generation. Publication defers while a historical-cost job is validating or applying, then rebuilds the final generation after committed costs settle.

Dedicated P&L Sheets do not replace the standard Orders, Product Summary, and Order Items tabs. The optional P&L columns in the standard order Sheet are separate compatibility fields and remain off by default.

Remove access when it is no longer needed

Schedules, preserved links, downloads, print files, and Google Sheets can outlive the browser session that created them. Pause or delete unused schedules, delete unneeded preserved reports, remove downloaded copies under your retention policy, and remove Google collaborators who no longer need financial access.
