Choose the destination
Use Google Sheets when you want a familiar live order table, selectable columns, and the derived Product Summary and Order Items tabs. Use Airtable when you want a structured one-way export with separate managed tables for forms, orders, items, payments, products, options, coupons, and shipping options.
EZFormz remains the source of truth for both integrations. Editing a row in Google Sheets or Airtable does not edit the order, payment, product, inventory, coupon, or form in EZFormz. Correct the source in EZFormz, then reconcile or sync again.
Both destinations can contain buyer details, order history, payment references, proof keys, addresses, and seller notes. Use a dedicated spreadsheet or base, grant access only to people who need it, and review destination sharing, automations, backups, and downstream exports.
Connect Google Sheets
- As the form owner, create a dedicated spreadsheet and share it as Editor with
ezformz-sheets@ezformz-integrations.iam.gserviceaccount.com. Google grants that role across the entire spreadsheet, not one tab or range. - Open the form in Dashboard, then open Settings → Integrations → Google Sheets.
- Paste the spreadsheet URL, choose and order the columns, and save.
- Choose Verify connection. This is a read-only reachability check and does not write order data.
- Choose Reconcile now to send existing orders. Use Rebuild from scratch only when the managed Sheet data needs a clean rewrite.
New orders can append automatically after setup. Existing orders do not silently backfill when a URL is first saved or replaced. For column details, sync controls, history, and repair behavior, see Sync and reconcile orders with Google Sheets.
Connect Airtable
- As the form owner, open Settings → Integrations → Airtable, choose Connect Airtable, and approve the requested Airtable access.
- Select an authorized base, choose the managed tables, and select the automatic order and catalogue sync options.
- Choose Create/repair & sync.
Setup creates missing EZFormz-managed tables and fields and starts the first bounded export slice. A large export can remain pending after that request; saved progress continues in later scheduled slices. Sync now requests a full managed-row repair and resumable backfill, including rows accidentally edited or deleted in Airtable.
EZFormz does not delete unrelated Airtable tables or fields. Deleted EZFormz records are retained in managed Airtable rows with Deleted At so the destination keeps an audit trail. See Export orders and catalogue data to Airtable for the exact managed schema and repair behavior.
Choose the correct P&L output
The optional P&L Product Cost, P&L Estimated Profit, and P&L Missing Cost Items columns in the standard order Sheet are compatibility columns and are off by default. They are not the same as dedicated P&L Sheets.
Dedicated P&L Sheets publish a validated financial report generation into separate P&L … tabs for one P&L-enabled form. Configure them from Profit & Loss → Reports after the form has a connected Google Sheet. See Export, preserve, schedule, or sync P&L.
Troubleshoot a destination
For Sheets, confirm the service account is an Editor, run Verify connection, and then Reconcile now. Check the Orders-page sync banner or View sync history for the exact failure.
For Airtable, confirm the base still appears under the connected authorization, the intended auto-sync switch is on, and the export is not disconnected. Choose Sync now to repair selected managed fields and rows. Temporary provider failures preserve completed checkpoints, so a later slice resumes instead of starting the whole export over.
