Add tracking manually
Open the order and enter one tracking number per line. Commas and semicolons are normalized to separate entries; an order can keep up to 20 tracking numbers. Save after confirming the numbers and carrier.
Adding tracking normally moves an eligible order to Shipped. EZFormz preserves Ready for pickup, Shipped, Direct Vendor Shipped, Completed, and Cancelled instead of replacing those statuses. The Tracking column is also synchronized to connected order spreadsheets when that sync is available.
The public order view creates carrier links for recognized services such as USPS, UPS, FedEx, DHL, Canada Post, and OnTrac, with a general tracking-search fallback when needed. A carrier link is a convenience; the carrier record remains authoritative.
Know which email is sent
Saving tracking sends the buyer's standard tracking-added email when the order has a deliverable email address and the buyer has not disabled that email preference. Review a number before saving or re-saving it so the buyer does not receive unnecessary or incorrect tracking.
Changing an order into Shipped or Direct Vendor Shipped without tracking can send the standard shipped-status email. That message is queued only on a new fulfilled-status transition, is deduplicated for that transition, and follows the buyer's tracking-added email preference.
A single EasyPost or Shippo label purchase also saves tracking and uses the tracking-added preference. EasyPost Batch Ship currently saves tracking without sending tracking-added email. Pirate Ship report import sends the standard tracking email for applied rows without applying that buyer-preference gate, so review selected rows carefully before applying.
Follow EasyPost and Shippo events
Purchased EasyPost and Shippo labels can receive provider webhook events. EZFormz updates the tracking state for In transit, Out for delivery, Delivered, and Returned events. A Delivered event can move an otherwise eligible order to Completed.
Buyer tracking-status emails require both the seller's Tracking updates notification preference and the buyer's tracking-added email preference. A saved tracking number by itself is not proof that the provider supports event updates for that shipment.
Use the order's tracking refresh when an event appears stale. Both EasyPost and Shippo shipments are eligible for refresh, and a daily fallback refresh runs at about 4:00 AM UTC. Manual refresh and the daily recovery sweep can update tracking and move an eligible Delivered order to Completed, but they do not send buyer tracking-status emails. Provider delays, unsupported carriers, or a disconnected credential can still leave the displayed state behind the carrier site.
Pirate Ship spreadsheet fulfillment does not create an EZFormz provider shipment and Pirate Ship does not push tracking events into EZFormz. Imported orders therefore remain Shipped until you change their status or another connected tracking source updates them.
Reprint an existing label
When Print Labels is available, select orders that already have provider labels and render the saved labels as a combined document. Reprinting existing label files does not buy postage again. Up to 100 selected labeled orders can be combined; orders with missing or unreadable label data are skipped.
Use the label's provider dashboard when a saved label cannot be recovered, when a purchase or refund is uncertain, or when the carrier made a rate adjustment. Do not buy a replacement until you confirm that the first provider transaction did not complete.
