Change form emails and confirmation

Configure notifications, confirmation emails, and thank-you pages

Outcome: Change what sellers and buyers receive after a submission.

Choose seller notifications

Open Settings, then Notifications, and choose when EZFormz should email order alerts:

  • Off sends no new-order notification.
  • Every order sends an immediate alert.
  • Daily digest groups new orders into a daily summary.
  • Weekly digest groups them into a weekly summary.

Every order is the default for a new form. This setting controls seller email notifications for new orders. It is separate from buyer confirmation email, account-wide notification preferences, order messages, and status-change emails.

Configure the buyer confirmation

Open Settings, then Confirmation Email. Buyer confirmation is on by default for a newly created form; turn Send confirmation to buyer off only when the buyer should receive no order-confirmation email. A confirmation can be sent only when the order includes a buyer email address.

The default email includes the order summary, item details, total, and applicable buyer actions. Turn on Use custom email to choose one of these modes:

  • Simple message places your message above the standard EZFormz receipt sections.
  • Full custom layout sends the layout you compose, so add every order section and action the buyer needs.

Set the subject and message, then insert supported variables with the provided buttons or type a supported variable exactly:

  • {{customer_name}} and {{customer_email}} provide the buyer identity collected on the order.
  • {{total}}, {{form_title}}, and {{order_id}} provide the order and form values.
  • {{items_table}} places the formatted item table.
  • {{payment_instructions}} places the applicable payment instructions.
  • {{edit_order_button}} and {{payment_proof_button}} place an action only when the order has the corresponding safe buyer URL.

Simple message mode keeps the standard receipt sections even if {{items_table}} is absent. Full custom mode sends only the layout you compose, so include every table, payment detail, and action the buyer needs.

Preview and test

Choose Preview Email to render sample buyer and order data with the same confirmation renderer. Preview does not send an email or prove delivery; it checks the current subject, layout, variables, and warnings for missing key sections. Unknown variables remain visible as typed.

Choose Save changes, place one clearly marked test order with an address you control, and check the received message on both a narrow and wide screen. Confirm the subject, totals, payment wording, links, and action buttons. If mail is missing, first confirm that the form collected the buyer's email and that confirmations are enabled.

Keep email content safe and useful

Email can be forwarded and may contain customer information. Include only necessary order details, never add passwords, API keys, private admin links, or reusable access tokens, and do not ask buyers to send sensitive payment credentials by reply.

Configure the post-submit page separately

The default Thank You Page shows Order Submitted!, payment instructions when applicable, and an always-visible order summary with product lines, coupon discounts, shipping lines, and the total. Its summary uses fixed system styling so it remains readable across themes.

Under Settings, then Thank You Page, you can replace the heading and message or set a redirect URL. A redirect replaces the EZFormz thank-you screen, so test it with a real signed-out test submission and use a trusted HTTPS destination. Do not put buyer or secret values in the saved URL.
